The starting point

Invitations were tracked in spreadsheets and notebooks. Staff copied information between systems, prepared separate documents and manually passed decisions on to patients and employers.

What changed

Invitations, pre-visit questionnaires, clinical information and decisions became parts of one workflow. Patients prepare before the appointment. Nurses and doctors share the clinical context. AI supports draft documentation and summaries; professionals review and approve the output.

Where the time goes back

Examples from the team’s feedback
TaskPrevious workflowWith HeBA’s platform
Pre-visit health questionnaire5–10 minutes of entry at the visitCompleted beforehand by the patient
Decision preparation3–4 minutes of copying information15–20 seconds for review and a short addition
Summary and follow-up documentationManual assembly from separate inputs6–10 minutes saved per patient

The examples can overlap and must not be added together as a separate total saving.

More than faster documentation

The team also reported more consistent occupational risk information, easier preparation before visits and better access to information for employer-level analysis. Moving from six to eight patients a day was described as an opportunity enabled by the saved nursing time.
